TERMS & CONDITIONS FOR SCHOOLS APPLYING TO RECEIVE FREE MUSICAL INSTRUMENTS
ORGANISER: CIRCA (a trading name of Circa Art Ltd) (“CIRCA”)
PROJECT: Project Rock ’n’ Roll Stars (the “Project”) in collaboration with Oasis.
PURPOSE: To place musical instruments and learning resources into UK state-funded schools, expanding equitable access to music education.
1. ELIGIBILITY
1.1. Open to UK state-funded primary, secondary and special schools (including academies, PRUs, and free schools).
1.2. Independent/private fee-paying schools are not eligible.
1.3. Each school may submit one application per campus/URN. Multi-academy trusts may coordinate multiple applications.
1.4. Schools must confirm:

a safeguarding policy compliant with UK law;

adequate storage, supervision and maintenance for instruments;

agree to basic monitoring and reporting (see §9).
2. WHAT’S PROVIDED
2.1. Successful schools may receive:

A Music Pack (musical instruments and any essential accessories, if necessary).

Teaching resources/lesson plans to support classroom delivery.
2.2. Details of the Music Packs (contents, instrument types, quantities) will be confirmed at a later date, once fundraising results are known.
2.3. The total number of Music Packs distributed depends on funds raised through Oasis print sales (25 Sept – 25 Nov 2025).
2.4. No cash alternative is available. Substitutions may be made at CIRCA’s discretion.
3. APPLICATION PROCESS & TIMELINE
3.1. Apply via the official online form on (circa.art/oasis) by the published deadline: 25 November 2025.
3.2. Applications require: headteacher consent, a needs statement, intended impact, and a delivery/storage contact.
3.3. Outcomes will be communicated by email. Successful schools must sign a Donation Agreement within 30 days.
3.4. Target distribution is 2026, subject to funds raised and logistics. Final allocations and delivery dates will be confirmed in advance.
4. SELECTION CRITERIA
4.1. Allocation is based on:

demonstrable need;

reach & inclusion (e.g. SEND, EAL, disadvantaged pupils);

Sustainability (storage, staff capacity, maintenance plans);

Community benefit (after-school clubs, local outreach, shared use).
4.2. CIRCA will balance support geographically and across school phases.
4.3. All decisions are final.
5. SCHOOL OBLIGATIONS
5.1. Use the Music Pack and resources for student learning without charge (reasonable consumable fees permitted).
5.2. No sale, hire, or disposal of instruments/resources for five (5) years without CIRCA’s written consent.
5.3. Maintain an asset register and ensure secure storage and reasonable care.
5.4. Ensure qualified staff supervision and safe usage.
5.5. Routine maintenance and insurance are the school’s responsibility.
5.6. Provide light-touch reporting (see §9).
5.7. Acknowledge the Project in communications and allow CIRCA to reference the school as a beneficiary (see §8).
6. OWNERSHIP & RISK
6.1. Ownership transfers to the school upon delivery, unless otherwise stated.
6.2. Risk passes on delivery. The schools must maintain appropriate insurance.
6.3. If a school closes or merges within 5 years, CIRCA may direct reallocation.
7. SAFEGUARDING & H&S
7.1. The school is responsible for pupil safety and safeguarding compliance.
7.2. Any CIRCA partner tutors will comply with safeguarding checks; schools must provide DSL oversight.
7.3. Serious safeguarding incidents related to the Project must be reported to CIRCA.
8. COMMUNITY & PUBLICITY
8.1. CIRCA may publicise beneficiary schools and anonymised impact data.
8.2. No pupil images will be used without the school’s lawful consents.
8.3. The school grants CIRCA and Oasis a licence to use non-personal materials (e.g., teacher quotes, anonymised impact stories) for Project reporting.
8.4. CIRCA branding may only be used for acknowledgement, not endorsement.
9. MONITORING & EVALUATION
9.1. Within 6–9 months, schools must provide a short Impact Snapshot (template provided).
9.2. This may include: number of pupils reached, examples of use, inclusivity notes, and 2–3 photos of instruments in situ (no identifiable pupils unless separately consented).
9.3. A light-touch follow-up may be requested at 18–24 months.
10. Liability & Indemnity
10.1. The Project is organised solely by CIRCA. Oasis and its members, management, agents and representatives (together, “Oasis”) are not the supplier of instruments or resources and accept no liability for the Project.
10.2. The school agrees to indemnify and hold harmless both CIRCA and Oasis against any claims, demands, damages, costs or expenses (including reasonable legal fees) arising from the school’s participation in the Project, use or misuse of the instruments, or breach of these Terms.
10.3. To the fullest extent permitted by law, CIRCA excludes all implied warranties and is not liable for indirect, incidental or consequential damages. CIRCA’s aggregate liability is capped at the replacement value of the Music Pack allocated.
11. FORCE MAJEURE & FUNDRAISING DEPENDENCY
11.1. Distribution is conditional on the funds raised through print sales. If sufficient funds are not raised, CIRCA may reduce the number of packs distributed or cancel the Project without liability.
11.2. CIRCA is not responsible for delays or failures caused by events beyond its reasonable control (including supply chain issues, strikes, or emergencies).
12. Governing Law
These Terms and any disputes are governed by the laws of England & Wales, with exclusive jurisdiction of the English courts.
